Meet your crew

Eris works the front desk, the parts counter, the estimate pad, the permit pile, the follow-up list and your morning. Each role below shows one example of what she hands back.

Six roles, one agent

Front desk

Eris answers your calls and texts, asks at most three triage questions, and books routine visits inside your booking rules. For an emergency she tells the customer to call the shop right now and texts your team. If that text does not go through, she does not say it did.

Example text thread, invented

Customer, 7:42 PM

Our heat is out and it is 38 degrees. Can someone come tonight?

Eris, 7:42 PM

Hi, this is Eris, Example Heating & Air’s automated assistant. That’s an emergency, please call us right now at (555) 010-0142 for the fastest response. I’ve also sent this to our team.

Customer, 7:43 PM

Calling now, thank you.

A customer who writes in Spanish gets the same lines in Spanish, word for word.

What this shows: An emergency text gets the fixed call-now line and no promised callback time; the line about the team is added only when the text to your team went through.

Parts desk

Eris reads the data plate in a technician’s photo, keeps one parts case per job and builds the parts request. She orders parts under your limit, and anything over it waits for a person’s OK. She never guesses a part number: it comes from your staff or stays blank. Each weekday morning she also emails a printable parts order sheet built from your open jobs.

Estimator

Eris drafts a Good, Better and Best estimate priced only from your price book. Anything the book does not hold is left out and flagged for the office. A contract goes out for signature only after a person approves that exact estimate.

What this shows: The approver sees the estimate line for line, then who receives the contract. The send refuses any other text.

Permit desk

Eris keeps one permit case per job, town and scope, fills each field from the job and your settings, and marks every value as supplied or confirmed. She emails you a DRAFT to review. She never files, signs, pays or contacts the town: a person does that.

How to answer

Reply to this email with your answers in plain words, for example: no gas change, condenser on the roof, use group R-2.

This is a DRAFT for review. It cannot be filed, and nothing has been filed, signed or paid.

What this shows: The draft lists what is missing or unconfirmed first, and says plainly that nothing has been filed, signed or paid.

Follow-ups

Eris emails the customer whose estimate went quiet or whose invoice is still open, in your shop’s name between 9 AM and 8 PM, Monday to Saturday, shop time, once you switch the rule on. What went out shows up in your next morning brief.

Owner brief

Early every morning, Monday to Saturday, Eris sends the owner one short text and one email: today’s jobs, who needs a call, unpaid balances, open estimates and yesterday’s money, plus a weekly scorecard on Mondays. A source she could not read is named, never filled in.

Example morning brief, invented figures
Subject
Tue Mar 10: $4,860 unpaid 30+ days, 6 jobs today

Good morning. Here’s what needs you today: the collection calls below. I found no open callbacks or decisions in my records.

Today

6 jobs in Housecall Pro. Checked for jobs with no technician and jobs waiting on parts in my records: none found. First window 8:00 AM, last 2:00 PM.

Collections

Unpaid over 30 days: $4,860 on 6 invoices, in two age bands:

30 to 90 days old: $3,120 on 4 invoices from 4 customers.

Over 90 days old: $1,740 on 2 invoices, the oldest 112 days. Largest: A. Sample $1,100 and B. Example $640. Reply "old balances" to review them.

Sales follow-up

Open estimates to follow up: 3, $9,450 in all.

Yesterday

Payments recorded yesterday in Housecall: $2,140 from 3 payments; billed $3,780 on 4 invoices.

I took 5 service requests and made 3 bookings. I sent 2 follow-up emails.

Eris, your right hand in the office. Reply "what needs me" for the full list.

What this shows: The sections, the wording of the money lines and the sign-off follow the brief the code composes. The figures here are invented.

Beyond the phone

A tool that only answers calls cannot do these. Each one is built in the product.

  • Ask who owes us

The owner texts or chats “who owes us?” and Eris reads the unpaid invoices from your job software, oldest first, with the amount due and the days since invoiced. Ask what you billed or collected for a period, or for the week’s scorecard, and she answers from the same records. A figure she cannot read, she says is unavailable.

  • Reach Eris from ChatGPT or Gemini

Your staff can add Eris to ChatGPT, Gemini or Muse, sign in with their staff account and work with her there, with the same role they have in her own chat. Nobody else can sign in, and customer money figures stay out of outside assistants.

  • English and Spanish emergencies

When a customer writes in Spanish, Eris switches to Spanish and stays there. The gas, smoke and emergency lines are fixed, reviewed wording in both languages, sent word for word, so a safety instruction never depends on a live translation.

  • Built-in e-signature

Approved estimates go out as contracts for signature through DocuSign if you have it, and through Eris’s own signing page if you do not. The customer signs the exact text your team approved by typing their full name, and the link is single-use.

  • Nameplate photo reader

Overnight, Eris reads the data plates in your technicians’ job photos so the morning parts sheet can print the brand, model and serial beside the job. Where a second reader does not agree on the model, the sheet says to check the photo, and she never fills in a field she could not read.

  • Estimate and invoice follow-ups

Every follow-up rule starts off. The owner turns one on with a message and an approval, and turns it off with a message alone. A customer who unsubscribes is not emailed again.

Tell us what software your shop runs, and we will tell you which of these roles fit.
